Special Collections and University Archives Exhibits Policy

Exhibits Policy

Approved exhibits will be scheduled on the library's exhibits calendar one year in advance of the scheduled time. Because of space limitation and high demand for available space, the scheduling of exhibits must be coordinated with the Exhibit Coordinator. Please fill out an Exhibit Proposal Form or contact Nicole Shibata at (619)594-1645 for more information.

The San Diego State University Library and Information Access will consider requests for exhibits when the conditions listed below are met:

  • Exhibits will remain on display for a minimum of one month.
  • Priority will be given to exhibits that support events that are sponsored or co-sponsored by the library, or that utilize our collections.
  • Secondary priority will be given to exhibits sponsored by SDSU academic units, local organizations, or other high-quality displays.
  • It is the responsibility of the exhibitor to promote the exhibit through multi-format outreach, including web versions of physical exhibits, promotion through the University events calendar and announcements page, the Daily Aztec, and other venues when appropriate, such as the San Diego Union-Tribune, local newspapers, and radio. All announcements and releases must be approved by the Library prior to their distribution.
  • Exhibits should meet professional exhibit standards. The library has the right to turn away exhibits that do not meet professional standards:
    1. For physical exhibits, images should be properly matted; materials should be of high quality, not damaged or showing signs of excessive wear; when necessary, display labels should be created on card stock or mat board. The sponsoring exhibitor should be clearly identified.
    2. For web exhibits, graphics should be of high quality; text should be clear, concise, and free of grammatical errors, and all links functioning.
  • Physical exhibits are to be installed and de-installed by the exhibitor. Exhibitor agrees not to damage the walls or the floor of the library, or to obstruct traffic in the library. Exhibitor is responsible for all costs of the exhibit, including creation of exhibit, rental, shipping, insurance, hiring security personnel if necessary.
  • It is the responsibility of the exhibitor to check on the exhibit periodically, to fix any parts of the exhibit that may have moved or become detached, or in the case of web exhibits, to fix broken links. Exhibitor accepts full responsibility for the care and maintenance of the exhibit.

What the Library and Information Access will do:

  • The library will provide display supports and easels for use inside of the locking display cases.
  • Web exhibits should be created by the exhibitor; help will be provided by the Library and on a case-by-case basis and as resources permit.
  • Proposals for exhibit should be submitted to Nicole Shibata, along with a plan for publicity. Proposed text for announcements and news releases must be submitted for approval to Roberta Niederjohn one week after the exhibit has been scheduled.
  • Exhibits are scheduled well in advance. Please submit your proposal one year before desired exhibit time.
  • When necessary, the Library may waive or make exceptions to any of the conditions listed above.
