Library Presentation Room Request

Facility Guidelines

Use of the Library Presentation Rooms is limited to those SDSU faculty and staff members who need a meeting place or conference room and may want to do a demonstration with computer access and projection equipment. Use of these rooms for classes is limited to a one-shot deal, not a weekly meeting of a class. The Library Presentation Rooms requests are prioritized in the following order:

1. Library
2. SDSU

The available Library Presentation/Meeting Rooms are LL-430 Leon Williams Room, LL-431 Presentation Room, the Brydegaard Room (LL-439), and the University Club Room (LA-4450). Please see Presentation Room Facilities for further information on what each room has to offer in the way of equipment and seating. The Henry L. Janssen Honors Council Room (LL-428D) is available to only the Honors and Morter Board Programs.

There is a standard set of software installed on presentation room computers. Any additional software installation is subject to licensing and compatibility issues, and requires 1 week advance notice to schedule the installation.

An orientation is required for first time use of all Library owned equipment and the Smart Classroom podiums. A request must be made at least 48 hrs. prior to the event for scheduling of the orientation with our technical staff.

Requirements of Faculty or Staff Member in Charge of Event

  1. The person in charge of class or event must request training on the equipment to be used prior to the date of the event, if event is their first-time using the equipment. The person in charge of class or event must arrange a training session at least 48 hrs in advance of event through the InfoSys Service Desk at 594-6753.
  2. The person in charge of class or event must be present during the event. Room will not be opened until person in charge arrives with key from Library Administration office (LA-2250).
  3. Any use of media (such as videotapes or software) in the room must be in full compliance with copyright laws.
  4. No smoking, food or drink is allowed in the room. The person in charge of class or event is responsible for enforcing this policy.
  5. The room is to be left in the same condition in which it was found.
  6. Library Administration office (LA-2250) must be notified when use of the room is concluded (refer to Use Procedures for the Library's Presentation Rooms ).
  7. The person in charge of class or eventagrees to accept responsibility for proper use and security of all Library equipment in the room.

Use Procedures for the
Library's Presentation Rooms

Prior to Day of Use

  • Schedule the appropriate Presentation Room with Library Administration office (LA-2250) by submitting a Library Presentation Rooms Request form. The form is available for pickup and drop-off in LA-2250 or may be submitted via the WWW at this page or complete a printed version of the form and send it via campus mail. While you are welcome to call the Library Administration office at 594-6014 to inquire about room availability for specific dates and times, we are unable to "pencil you in" or otherwise reserve the room for you until you submit the request form.
  • When scheduling a block of time for your event, consider scheduling additional time before your event starts to allow for set-up of equipment and software, or to practice your presentation. It is strongly suggested that you investigate hardware and software compatibility issues (See Presentation Room Facilities) and, if necessary, make arrangements through the InfoSys Service Desk (594-6753) to test these issues prior to day of use.
  • You will need to learn how to operate the equipment you plan to use during your event. Schedule an orientation session through the InfoSys Service Desk (594-6753) at least 48 hours prior to date of use. Due to time and staffing constraints, we are unable to provide training to students or guests. For student or guest presentations, training will be given to the faculty or staff member responsible for the class or event.
  • If your plans change and you no longer need the use of the room, please call 594-6014 to cancel your reservation.

Day of Use

  • Go to the Library Administration office, LA-2250, and checkout the key to unlock the room. The attendees will not be allowed to enter the room, until you arrive. The Library Administration office can be very busy at times; please be patient and allow a few extra minutes in case the staff are busy.
  • If your event begins after the Library Administration office closes at 5:00 pm, please come to the Library Administration office prior to closing to checkout the key. When you've completed your use of the room after 5:00 p.m., you must notify the RBR Desk (LA-2228) when you've finished using the room and return the key there.
  • You must be present during the event; remember that you are responsible for the equipment in the room and the condition of the room itself. As such, you must enforce the rules prohibiting eating, drinking and smoking in the room.
  • Remember to remove any videotapes or other media/equipment you may have brought to the room.

If You Have a Problem During Your Event

  • If a Computer/Internet access problem occurs before 4:30 p.m., go to LL-453 or call 594-6753 and ask for assistance.

The LL-430 Leon Williams Room is primarily for Library-sponsored Instructional needs, but can be used for SDSU meetings/presentations. The room is equipped with 27 tables and 70 chairs (accommodates 70; some without tables). NOTE: The LL-430 and 431 rooms can be used separately or combined to accommodate a large audience.

The room was renovated during Spring 2007 with updated multimedia/computer systems. For optimal viewing of the projection screen, half of the room lights are independent of the other half. Screen and light switches are adjacent to the podium. LL-430 has a Phone near the podium (for access to computer assistance at the InfoSys Service Desk [594-6753 8-4:30 p.m.]).

The Brydegaard Room is for SDSU Departmental/Unit meetings (primarily Library and Information Access). The Brydegaard Room, located on the 4th floor of the Love Library building - room 439, is equipped with a small conference table and 16 chairs (some chairs are along wall), as well as a mobile whiteboard, and a writing desk (accommodates 16). Access is available in the room to wireless Ethernet connections (Internet & Networking access).

Not Available in the Brydegaard Room

  • Microphone/sound system.
  • Specialized lighting (But windows are blocked with a porous material).
  • Computer access (Presenter may bring their own PC or Mac Laptop and accompanying software or see the ITS department for checkout equipment).
  • Computer Projection system or screen (Presenter may bring their own or see the ITS department for checkout equipment).
  • Wired Ethernet connection (Internet & Networking access).

The University Club Room is for Library and Information Access, and events sponsored by the President, Vice-President, or Deans. The University Club Room, located on the 4th floor of the Library Addition building - room 4450, is equipped with a large conference table and 20 chairs, as well as an additional 15 chairs around the room (accommodates 35).

The room is receiving a renovation on its multimedia/computer systems during APRIL 2008. For optimal viewing of the projection screen, half of the room lights are independent of the other half and windows can be blocked with blinds. Screen and light switches are adjacent to the podium. LA-4450 has a Phone opposite to the podium (for access to computer assistance at the InfoSys Service Desk [594-6753 8-4:30 p.m.]).
